How does a PPE vending machine work?
- The employee scans their card at the machine's reader; the system recognizes the card and displays the employee's name, department and remaining entitlements.
- They select what they need from products listed by category on the touchscreen; any selection exceeding their entitlement is blocked instantly.
- The request goes to the central system and, once approved, the machine dispenses the item; the transaction is logged with employee, product, quantity and time.
- Slots running low appear as alerts on the management panel and a refill list is prepared.
Department and employee-based PPE limits
For each department and each employee you define which product they can take, how many, and over what period: daily, weekly, monthly, yearly, or a rolling period covering the last 24 months. Department limits apply by default; if an employee-specific limit is defined, it takes priority.
Managers, foremen or employees with special duties can be granted “unlimited access”; the card of an employee who has lost it or left the company can be blocked with a single click. In the limit dialogs, products are grouped by category and can be selected in bulk per category.
Slot, stock and refill management
Which product each slot in the machine holds, current and maximum quantity, critical stock threshold and refill quantity are all managed from the panel. The low-stock list on the dashboard shows field technicians how much to refill in which machine. Technicians see only the machines and departments assigned to them.
Issuance records, cost centers and reporting
The employee's signed PPE issuance record is scanned (PDF/JPG/PNG) and uploaded to their employee profile; during an audit the document opens with a single click. Cost center and position are selected from fixed lists when defining an employee, so consumption reports are grouped correctly by cost center and department.
Consumption reports can be generated by employee, department, product and date range, making it easy to spot employees who never collect PPE or who consume more than expected. This provides direct data for the OHS specialist's audits and for purchase planning.
Multi-facility deployment
For companies with multiple factories or sites, each facility manages its own machines, employees and departments, while headquarters sees every facility from a single panel. In the Brisa deployment, headquarters and the Aksaray facility operate with this structure.
The management software can be renewed while keeping your existing machine's control board and hardware; for new vending projects, the vending machine control board and embedded software are also developed by a single provider.

Frequently asked questions
What is a PPE vending machine?
A machine where employees scan their card to take personal protective equipment (gloves, safety glasses, masks, earplugs, etc.) up to their defined entitlement, with every withdrawal recorded. The software manages limits, stock, issuance records and reporting.
How are employee limits defined?
Product, quantity and period (daily, weekly, monthly, yearly, rolling 2-year) are defined per department and per employee; an employee-specific limit overrides the department limit.
What happens if an employee loses their card?
The card is blocked from the panel with a single click; a blocked card cannot take items from the machine. Once a new card number is assigned to the employee, their entitlements carry over unchanged.
Does it work with our existing vending machine?
The existing machine's hardware and communication setup are reviewed; the management software and kiosk interface can be renewed while keeping the control side intact.
We have multiple facilities. Can we manage them from a single panel?
Yes. Each facility manages its own machines and employees; headquarters sees all facilities and reports from a single panel.
Where is this system in use?
The PPE virtual warehouse and vending management software I developed is used at Brisa, at headquarters and the Aksaray facility.
